Most callers won't leave a voicemail. Here's how to stop missed calls costing you jobs.

You're up a ladder, hands full, and the phone rings. You'll call them back at smoko. The problem is, by smoko they've probably already rung someone else.

Missed calls are part of running a trade business. You can't stop a job halfway to answer every call, and you shouldn't have to. But there's a big difference between missing a call and losing the customer behind it. The second one is fixable.

What callers actually do when you don't pick up

Most of us assume a missed call turns into a voicemail, and a voicemail turns into a callback. The research says otherwise.

42%

Only 42% of people say they leave a voicemail when a business doesn't answer. Around one in five say they immediately call another business instead.CallRail survey of 1,000 US consumers, 2025

That survey is American, but the behaviour will sound familiar to anyone who's searched for a plumber in a hurry. When someone has a leaking tap, a tripped switchboard or a broken aircon, they're not ringing one business and waiting. They're working down the Google results until someone answers.

And it's not just phone calls. A well-known Harvard Business Review audit of 2,241 companies found that 23% never responded to online enquiries at all. The flip side is good news: the bar is low. Simply getting back to people quickly puts you ahead of a big chunk of your competition.

Why voicemail isn't a safety net anymore

Voicemail asks the customer to do the work: wait for the beep, explain the job, leave a number and then wait some more. Plenty of people won't bother, and some never even get that far because the greeting is a generic network message that doesn't confirm they've reached the right business.

If your plan for missed calls is "they'll leave a message", a fair share of your enquiries are quietly disappearing without you ever knowing they existed.

Five ways to stop missed calls costing you work

1. Reply by text within minutes

A quick text tells the caller three things: you're real, you're busy (a good sign), and you'll get back to them. It keeps them from ringing the next business on the list.

Example text

"Hi, it's Dave from Coastline Plumbing. Sorry I missed your call, I'm on a job right now. What do you need a hand with? I'll call you back by 3pm today."

Keep the reply about their enquiry. A missed-call text is customer service, not a place for promos.

2. Fix your voicemail greeting

If someone does reach voicemail, make it work harder. Say your business name, tell them when you'll call back, and give them a faster option.

Example greeting

"You've reached Coastline Plumbing. We're on a job right now. Leave your name and suburb, or text this number with a photo of the problem, and we'll get back to you within two hours."

3. Set callback windows and stick to them

You don't need to answer every call live. You need a reliable rhythm: morning tea, lunch and end of day are natural points to clear the list. Callers forgive a short wait. They don't forgive silence.

4. Capture the basics on first contact

Name, suburb, type of job and a photo if possible. With that information you can call back already knowing whether it's a quick fix or a quote visit, which makes the callback shorter and makes you look sharp.

5. Count your missed calls for one week

Most phones show missed calls in the call log. For one week, note how many you miss and how many you actually call back. Then think about your average job value. That number is usually enough to make a business owner take this seriously.

The real goal: fast, not perfect

Customers don't expect you to drop tools for them. They expect to hear back before they've found someone else. Speed of the first reply matters far more than having the perfect answer.
